Unit 6. Cell formats (II)

Aligning

Format can be assigned to the cell entries in order for them to be aligned or orientated in a determined way.

To change the alignment of data on our worksheet, follow these next steps:

Select the range of cells that we want to perform the alignment on.

Select the Format menu.

Select the Cells... option.

Clic on the Alignment tab of the Format cells dialogue box.

The image seen to the left will appear.

Select the desired options.

Once you have selected all the desired options clic OK.

Next we will explain the various options to you.

Horizontal text alignment: Aligns the the contents of the selected cells horizontally, that is, respects the width of the cells. By clicking on the arrow to the right we can select between the following options:

GENERAL: Is the Excel2003 default option, aligns the selected cells depending on the data introduced, that is, the numbers to the right and the texts to the left.

LEFT (Indent): Aligns the selected cells to the left independently of the type of data. Observe the Indent: box that appears to the left, which is 0 by defect, but every time that this is increased by one, the cell entrance starts one character more to the right so that the contents of the cell do not cling to the left border of the cell.

CENTER: Centers the contents of the cell within the cell.

RIGHT (Indent): Aligns the contents of the cells to the right, independent of the type of data. Observe hw the Indent: box appears to the right. It is 0 by defect, but every time this value is increased by one the cell entrance starts one character to the left so that the contents of the cell do not cling to the right side of the cell.

FILL: This option is not really an aligning one, but will rather repeat the cell data to fill the width of the cell. That is, if we have written in a cell and we select the Fill option, the content will be repeated until the width of the cell is complete.

JUSTIFY: With this option the contents of the selected cells are aligned to the right and the left.

CENTER ACROSS SELECTION: Centers the contents of the cell with respect to all the blank cells selected to the right, or the next cell in the selection that contains data.

Vertical text Aligning: Aligns the contents of the selected cells vertically, that is, with respect to the height of the cells. This option only makes sense if the rows heights have been extended with respect to their inicial size. Clic on the arrow to the right and select from the following options:

TOP: Aligns the contents of the selected cells in the superior part of the cell.

CENTER: Centers the contents of the selected cells in respest to the height of the cells.

BOTTOM: Aligns the contents of the selected cells in the bottom part of the cell.

JUSTIFY: Aligns the contents of the selected cells in the top and bottom part of the cells.

Orientation: Permits us to change the angle of the cells so that they are shown in horizontal (default option), upside down, or any angle till 90% either side of 12 on a watchface. Excel2003 automatically adjusts the height of the cell to adapt to the vertical orientation while not being explicitly fixed to that height.

Wrap text: By default if we introduce a text into a cell that does not fit Excel will use the adjacent cells to visualize the introduced contents, and if we activate this option the contents of the cell will only be seen in this cell, and for this the height of the cell will be increased and the contents seen in various rows within the same cell.

Shrink to fit: If we activate this option, the size of the font will reduce until the contents can be displayed in the cell.

Merge cells: When this option is activated, the selected cells are merged into one cell.

Text direction: Permits us to change the reading order of the cell contents. This is used for languages that have a different reading order to ours eg, french, hebrew, etc...

On the Toolbar we have availible various buttons that allow us to modify some of the options seen before in a fast way, such as:

botón alineación izquierda By clicking on this button the horizontal alignment of the selected cells will be to the Left.

botón alineación centrado This button centers horizontally the data in the selected cells.

botón alineación derecha By clicking on this button the horizontal alignment of the selected cells will be to the right.

botón unir celdas This button unites all the selected cells to form a single cell, and the data will then be centered

If you are unsure of how to perform any of these operations we recommend that you perform the Alignment exercise
